This position provides direct administrative support to Administration of the Hospitals and Clinics.
Responsibilities:
- Provides administrative assistance for University Hospital executives.
- Helps resolve a variety of complex administrative issues for executives, assistants, faculty, staff, students, and the general public.
- Demonstrates confidentiality in all aspects of the job.
- Pays close attention to detail in managing multiple calendars for executives.
- Assists with the development and implementation of department policies.
- Takes minutes in meetings as required and represents executives well.
- Supports in planning and organizing the department workflow.
- Researches, analyzes, and prepares administrative reports and documents.
- Drafts and formats correspondence and PowerPoint presentations in concert with Hospital Executives.
- Arrange and coordinate frequent travel and prepare and submit expense reports.
Knowledge / Skills / Abilities:
- Well established human relations, effective communication, and public relations skills.
- Ability to perform the essential functions of the job as outlined in the position description.
- Demonstrates writing and PowerPoint skills.
- Ability to multi-task and prioritize in an organized fashion.
- Anticipates and takes initiative for what needs to be done and functions with minimal direction.
- Supportive of the team (i.e.: other Executive Assistants and Executives) and sharing responsibilities as needed.
- Exercise critical judgment and anticipate needs of the executive director and other customers
Qualifications:
- Associate’s degree, or its equivalent.
- Four years of experience in the field, or in related area.
- Proficient in Microsoft Office, including PowerPoint, Excel, Outlook , etc.
Qualifications (Preferred):
Preferred
- Bachelor's Degree in Business, Finance or related field.
- Experience with Crimson Market Advantage or another customer relations management software tool and ability to prepare reports and executive summaries from data entered into Crimson Market Advantage.
